TMG values and respects the privacy of the people we deal with. We are committed to protecting your personal information, and we follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
This policy explains what personal information we collect, how we collect and hold it, how we use and disclose it, and how you can access it, correct it, or make a complaint. We may update this policy from time to time. We review it at least once a year.
What is personal information?
Personal information is information or an opinion about an identified individual, or an individual who can reasonably be identified. This includes information that identifies you directly, such as your name, and information that can identify you indirectly.
What we collect
The personal information we collect depends on how you deal with us. It may include:
  • your name
  • your email address and phone number
  • your postal address
  • your employer or company name and your role
  • booking and payment details when you book a program, retreat, or coaching
  • your date of birth, where we need it, for example to confirm you are 18 or over for a retreat
  • feedback you give us through surveys or other channels
  • any other information you choose to share with us
We collect your date of birth only where we have a clear reason to. We do not collect it as a matter of course.
Sensitive information
Some information is treated as sensitive under the Privacy Act and is given extra protection. This includes health information.
In the course of our work, mainly for retreats and coaching, we may collect sensitive information from you. For example, a retreat booking may ask about health conditions, allergies, or dietary requirements so we can keep you safe and look after you properly. Coaching conversations may also touch on personal matters.
We collect sensitive information only with your consent, and only where it is reasonably necessary for what we are doing. We use it only for the purpose you gave it to us, we keep it secure, and we limit who can see it.
How we collect your personal information
We usually collect personal information directly from you, when you:
  • visit or interact with our website
  • complete an enquiry, booking, or payment form
  • speak with us by phone, email, or in person
  • take part in a survey or questionnaire
  • attend a TMG event, program, or retreat
  • subscribe to our mailing list
  • apply to work with us as an employee, contractor, or coach
We may also collect personal information from third parties or public sources, for example LinkedIn or other social media, where you have made that information available. When we do, we protect it under this policy.
How we use your personal information
We use your personal information to:
  • provide the services and information you ask us for
  • respond to your enquiries and complaints
  • process and manage bookings and payments
  • tailor and improve our services
  • run our business and meet our administrative needs
  • send you marketing and updates, where you have asked for or agreed to receive them
  • meet our legal and regulatory obligations
  • for any other purpose you consent to
How we use AI tools
TMG uses artificial intelligence (AI) software to help run the business. We use it to draft and summarise documents, organise information, prepare internal briefings, schedule work, and manage tasks. People at TMG remain responsible for the work. Our AI tools support our team. They do not make decisions that significantly affect you.
Some of this processing involves sending information to an AI service provider located overseas. We cover overseas disclosure below.
If we ever change how we use AI in a way that affects your personal information, we will update this policy.
Who we share your personal information with
We may share your personal information with others where you would reasonably expect us to, including:
  • our service providers, such as our IT, hosting, customer relationship management (CRM), accounting, survey, and AI providers
  • our marketing providers
  • our professional advisers
  • people or organisations we work with to deliver a program or retreat you have booked
  • anyone you have asked or agreed for us to share it with
  • a person or body where the law requires or allows it
We require our service providers to handle personal information consistently with this policy and the Privacy Act.
Sending personal information overseas
Some of our service providers are located in, or store data in, countries outside Australia. This includes the United States, where our AI provider is based, and may include other countries where our global providers operate. When we disclose your personal information overseas, we take reasonable steps to see that it is handled consistently with the Australian Privacy Principles.
How we protect your personal information
We take reasonable steps to keep your personal information secure and to protect it from misuse, loss, and unauthorised access, change, or disclosure. We limit access to sensitive information to those who need it.
No system is completely secure. The transmission of information over the internet carries some risk, and we cannot guarantee the security of information you send to us or receive from us. We do take measures to reduce that risk.
How long we keep your personal information
We keep personal information only for as long as we need it, or for as long as the law requires. As a guide:
  • we keep financial and tax records for at least the period required by law, currently at least five years
  • we keep marketing contact details until you unsubscribe or ask us to remove them
  • we keep client, coaching, and program records for as long as we are working with you and for a reasonable period afterwards
When we no longer need personal information, we take reasonable steps to destroy it or remove anything that identifies you.
Cookies and website analytics
Our website uses cookies. A cookie is a small file that the website places on your device, if you allow it, so the site can recognise your device and improve your experience. We do not use cookies to identify you personally. You can set your browser to block or remove cookies, but some parts of the site may not work as well.
Our website uses Google Analytics to help us understand how visitors use the site so we can improve it. This data is mostly anonymous, though in some cases it may be possible to connect it to you.
Direct marketing
We may send you marketing about our services, events, and opportunities where you have asked for or agreed to receive it. We may send it by email, SMS, or post, in line with marketing laws including the Spam Act 2003 (Cth). You can opt out at any time by using the unsubscribe option in the message or by contacting us. We will action your request.
Accessing and correcting your personal information
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong, out of date, or incomplete. Email us at info@thrivingmindsglobal.com. We may ask you to confirm your identity first. In some cases the law allows us to refuse access, and if that happens we will tell you why.
Complaints
If you are concerned about how we have handled your personal information, please contact us at info@thrivingmindsglobal.com. We may ask for details and proof of identity so we can look into it. Please allow up to 30 days for us to respond. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au.
